Privacy policy

This notice covers the OLES product website, the OLES account portal, trial and license management, and requests sent to OptimAI Labs. OLES is delivered as software you run on your own systems.

Who to contact

OptimAI Labs Ltda, registered as CONSULTORA Y SOLUCIONES OPTIMAI LABS LIMITADA, provides OLES and operates its account and licensing services. Its legal address is Antonio Bellet 193, Office 1210. For privacy questions or requests about your information, contact oles@optimai.cl.

Accounts and licenses

The portal stores your email, a password hash, any first and last name you provide, account status, and account creation and login records. It also stores license identifiers, protected license credentials, plan, status, start and expiry dates, and the version of the license terms accepted. These records allow us to authenticate you, provide downloads and licensed access, renew licenses, and investigate access problems.

Free trials and optional questions

When you activate a trial, the portal records the trial and its dates so it can enforce one OLES trial per account. Country, intended use, and familiarity with optimization solvers are optional. Leaving all three blank does not prevent you from receiving the trial. Country is supplied by you, not inferred from your language or time zone.

At trial activation, the portal also records the selected language, browser language, browser-reported time zone, and available source or campaign labels from the link used to reach the portal. These help us understand where trial requests come from and how people intend to use OLES. The trial-profile record does not include a raw IP address or complete browser user-agent string; infrastructure logs are a separate category described below.

Payments through Paddle

When you proceed to Paddle checkout, your account email and purchase reference are supplied to Paddle. Paddle handles payment information, billing address, business and tax details where applicable, tax calculation, receipts, and payment support under its own privacy notice. Our license database records purchase and transaction references, payment status and dates, the selected plan, and the accepted terms version. It does not store full payment-card details.

Purchase interest and checkout events

When you are signed in to the OLES portal, it records limited first-party events such as selecting a paid plan, creating a checkout, opening or closing Paddle checkout, a checkout error, and a verified payment or refund. These events are linked to your account and may include the product, plan, server capacity, price reference, selected language, purchase reference, and timestamps. They help us understand demand, troubleshoot checkout, and respond to an incomplete purchase or a request for commercial information.

This event record does not include a raw IP address, a browser fingerprint, payment-card details, keystrokes, model inputs, or an arbitrary client message. The portal does not add you to a marketing campaign merely because you created an account or clicked a purchase button. Product-news or promotional email will use a separate, optional and unchecked choice where required, with an easy way to withdraw it. You can contact oles@optimai.cl about a data request or an objection to direct marketing; required service, security, legal, and transaction messages remain separate.

Messages, academic requests, and meetings

The product website’s request form prepares an email on your device. It does not submit the form to us or persist its contents. When you send the email, we receive the message and any attachments through Titan, our email provider. Academic affiliation evidence is optional; send only information needed to assess the request. Support messages may include technical details or a reproduction you choose to share. Remove credentials and confidential or personal information that is not needed.

A commercial meeting link opens Google’s appointment service. If you use it, Google processes the information you provide under its own privacy policy, and the meeting organizer receives the booking information.

Browser storage, logs, and local computation

The product website uses local storage to remember an explicit language choice. The portal also uses local storage for sign-in tokens and preferences, and session storage to preserve source or campaign labels through registration. You can clear browser storage; doing so may sign you out or reset preferences.

The current product website does not include third-party analytics or advertising trackers. PostHog is planned for the future and is not enabled. Before adding analytics we will review its configuration, update this notice and provide choices or obtain consent where required. The portal’s trial source and campaign records described above are separate. Website and API infrastructure can process request URLs, IP addresses, timestamps and technical error information in operational logs.

The product website and account portal do not ask you to upload optimization models to run OLES. Solver computation happens on systems you operate. If you voluntarily send a model or data for support, that material becomes part of the support request. The data sent by the final native licensing client must be documented before those binaries are released.

Purposes, recipients, and safeguards

We use account, license, purchase and support information to provide the service you request and to perform the license agreement. Where applicable, we rely on legal obligations for required financial records, and legitimate interests in securing the service, preventing abuse and understanding trial adoption. Optional trial answers are not required to provide the trial. Processing that requires consent, including any future non-essential tracking, must have the appropriate choice before it begins.

Authorized personnel and service providers handle the information needed for their roles. Hosting uses Amazon Web Services (AWS), and support email uses Titan. Paddle processes purchases under its own privacy notice; Google handles optional meeting bookings. The expected AWS region is us-east-1 (Northern Virginia, United States), subject to verification before launch. The exact services, other providers’ processing locations, applicable contractual protections and any international-transfer safeguards remain part of the production review. We do not promise that all data stays in one country.

Retention and requests about your information

Before production, we must set retention periods for account and license records, optional trial answers and campaign information, support messages and attachments, logs, and backups. Financial recordkeeping obligations and minimal evidence of an already-used trial need separate treatment from optional profile information. The current portal does not implement an automatic deletion schedule; this draft does not promise one.

We plan to preserve anonymous totals by country for long-term geographic statistics, such as a world map. Those totals may be kept indefinitely only after they no longer identify a person: no names, emails, account or license identifiers, or link back to individual profiles. Small groups and combinations that could identify someone require suppression or broader grouping. The aggregation and personal-data deletion process must be implemented and verified before launch; this does not authorize keeping identifiable profiles forever. Country currently comes from the optional trial question, so these statistics describe trial applicants who answer it, not every registered user.

You can contact oles@optimai.cl to request access, correction, deletion, or information about how your data is used. Depending on applicable law, you may also have rights to portability, restriction, objection, withdrawal of consent where processing relies on consent, and a complaint to a supervisory authority. We may need to verify that a request concerns your account. Required legal records and legitimate restrictions on deletion must be explained when a request is handled. Never send your password or license key as proof of identity.

Changes to this notice

A dated production notice will replace this review draft after the outstanding details are confirmed. Material changes to processing will be reflected in the notice and communicated where required.
